One for Accounting

## Start the close with the matching done.

One gives your small business a crew of AI bots that reads bank, payment and accounting exports, matches the lines and attaches the evidence. Your accountant gets a prepared pack, with the real questions left for you.

Sound like month end?

- The payout and the deposit do not match.
- The charge is there. The receipt is not.
- Your accountant asks the same questions again.
- The cash picture is old before it is finished.

**50% took six or more business days to close.** [Ledge’s 2025 survey ↗](https://www.ledge.co/content/month-end-close-benchmarks-for-2025) covered 100 finance professionals at companies with 51+ employees. A small vendor survey, not a small-business baseline or a result measured for One.

### Start with the questions. The gathering is prepared.

Give Noor one period and the exports behind it. Ask for a source beside each explanation and a separate list of what still needs a person.

**Today Compare three exports, line by line.:** With One Review the matches, including the fees and refunds behind each deposit.
**Today Search your inbox for an unfamiliar charge.:** With One Open the statement line beside the receipt or supplier’s email.
**Today Send the accountant a folder and wait for questions.:** With One Send a summary, workpapers and the unresolved items together.
**Today Rebuild the cash spreadsheet when someone asks.:** With One Schedule a weekly view from the latest files, with its date and assumptions.

Between closes

### Keep the loose ends from piling up.

Work with what you use

### Your books stay where they are.

A connection gives your bots tools. It does not import or sync your books, and it is not a bank feed. Start with exports if that is all the access you want to give.

#### Books & invoicing

Use their tools for reading and reconciliation while you review the first closes. Permissions can also allow writes.

- QuickBooks One-click connect Reads invoices, bills and payments
- FreshBooks One-click connect Reads financial records
- Zoho Books One-click connect Reads financial records
- Zoho Invoice One-click connect Reads financial records
- FreeAgent One-click connect Reads financial records
- Harvest One-click connect Reads financial records

#### Payments

Read payouts, fees and refunds through the catalogue, or start with an export.

- Stripe One-click connect Reads payments and customer records
- Square One-click connect Works with orders and payments

#### Spreadsheets & files

- Google Sheets One-click connect Reads and updates spreadsheet rows

- PayPal Needs a one-time setup Reads financial records
- Brex Needs a one-time setup Reads financial records

[And more About 1,500 apps in the catalogue; some need a one-time setup.](https://onedev.jobrella.ai/docs/connectors)

App connections run through your workspace’s integration catalogue (Composio on the hosted service). Self-hosted availability may follow Pipedream instead.

Catalogue availability is checked, not a claim that each live account connection has been tested end to end. Review the permissions before connecting.

Set the boundaries

### Prepare the pack. Keep the decisions.

Bots act without asking by default. Set the controls that apply to your tools, and keep posting, paying and filing with a person in the original system.

#### Turn on the right confirmations

Ask before purchases Turn on

Covers consequential Stripe, Shopify, PayPal and Square actions, plus tools named like purchase, pay, charge, checkout or buy.

**See a denied purchase request**

Fictional purchase approval example **Review before Square charge**

Denied · No action taken

An approval card offers Allow once, Always allow this tool and Deny.

Ask before sending external email Turn on

Covers Gmail and Outlook actions. A request to send can then raise this card.

Fictional email approval example **Review before GMAIL\_SEND\_EMAIL**

To: accounts@example.com Subject: Missing September receipt Could you send the receipt for our order?

Try a choice. This example sends no email.

#### Know what each control leaves open

Change files Ask first

A computer permission. Noor still reads the exports; every write to a file waits for you.

**There is no QuickBooks-specific approval setting.**

A connected bot could create or change entries if asked. The demo uses exports without an accounting connection. Its restraint is the work you asked for, not a lock on the books.

#### Keep a source beside each figure

Ask for the statement row, payout report or supplier thread in the workpaper. Open those sources and check the proposed match.

#### Remove access when you need to

Remove connections in Integrations. Managed connections are shared by your bots in the Space. Credentials are encrypted or held by the integration provider; they never go to the model.

One helps prepare and organise financial work. It is not a CPA firm and gives no tax, legal, audit or accounting advice. Your accountant reviews and signs. Cash views and forecasts are estimates.

Start here

### Try a month you already know.

1. 01 Choose a closed month Start with a period your accountant has already reviewed. You have a result to compare against.
2. 02 Give Noor the exports Attach PDFs and CSVs in chat; put XLSX files in the computer’s Files.
3. 03 Review before you repeat Check the sources and open items with your accountant. Then schedule the preparation. If you connect accounting apps, start with reading and reconciliation while you judge the first closes.

Before you connect

### Your books. Your questions.

**Does One replace our bookkeeper or accountant?**

No. One helps prepare and organise financial work. It is not a CPA firm and gives no tax, legal, audit or accounting advice. Your bookkeeper and accountant review the work, make accounting decisions and sign where required.

**Can it move money or file anything?**

The workflow shown here uses exports and produces files; it makes no payments, entries or filings. That is a workflow choice, not a blanket product lock. Connected tools can act, and bots act without asking by default. Turn on Ask before purchases and Ask before sending external email for the actions those controls cover. Neither is a general approval rule for accounting entries or filings. Leave posting, paying and submitting to a person in the original system.

**Which accounting tools work with One, and what about Xero?**

QuickBooks, FreshBooks, Zoho Books, Zoho Invoice, FreeAgent and Harvest are in the one-click catalogue, alongside Stripe and Square. Xero, NetSuite, PayPal, Brex, Ramp, Coupa and Gusto need a one-time setup that the hosted service does not have today. Start with their exports. A connection provides tools; it does not import or sync your books. Availability follows your deployment’s catalogue.

**What happens to a line it cannot explain?**

Ask Noor to keep it in Open items, with the amount, source and question. The demo shows a duplicate charge and changed bank details left for you. A proposed explanation still needs checking; AI can make mistakes.

**Can it read scanned receipts?**

A receipt photo attached in One’s web chat can be read by a model that sees images. The document reader has no OCR: scanned PDFs do not yield text. Use a text PDF, a CSV export or a receipt image in web chat. WhatsApp and Telegram cannot receive photos or files.

**Who can use our QuickBooks connection?**

Every one of your bots in that Space can use your managed app connection. It is not assigned per bot. Depending on the tools and permissions, they can create or change entries if asked. There is no QuickBooks-specific approval setting. Use exports without a connection if you want this workflow to have no accounting-app access; you can remove connections in Integrations.

**Who owns the books, and can we leave?**

Your books stay in your accounting system. One does not become your ledger. Download workpapers from Files and export Records as CSV, so the pack can go with you and your accountant.

**Where does our financial data go?**

Files are processed on the configured bot computer; the configured model receives the content needed for the task. Connected apps use the workspace’s integration provider. Credentials are encrypted or held by that provider and are never sent to the model. Read the hosting, providers and data handling details on our Trust page.
